We’re so excited to welcome you into our studio and can’t wait to help you create meaningful memories and beautiful art for your walls. To make sure every client has the best possible experience, please review the following policies before your session.
Session Timing & Punctuality
All sessions are time-based. To give every client their full experience, please arrive on time and ready to begin at your scheduled start time. Late arrivals will receive reduced session time.
Late arrivals past the cutoff below will have their session cancelled, and all payments, including session deposits, will be forfeited:
- Mini sessions and shorter sessions (including the Flirty and boudoir quickies): more than 5 minutes late.
- Full sessions (Classic, Signature, and all other packages): more than 15 minutes late.
Because sessions are time-based, any late arrival within the cutoff still shortens your camera time.
Deposits & Rescheduling
Session deposits are nonrefundable and secure your date and time. A minimum of 24 hours’ notice is required to reschedule and transfer your deposit to a new date. Rescheduling with less than 24 hours’ notice will result in loss of the deposit.
Final Payment
Final payment is due one (1) week before your session date, unless a payment plan has been arranged.
Want to spread it out? Payment plans are available. When you pay through our online invoices and galleries, you can choose Klarna or Affirm at checkout to split your total into smaller installments, or ask us about setting up a payment schedule.
Photo Viewing
For sessions at our studio, your photo viewing happens right after your session and is part of your booked studio time. This is where you choose your favorite images and add any upgrades.
Need to reschedule your viewing, or prefer to plan it for another day? A separate viewing appointment is $30, and the full $30 can be applied as a credit toward an upgrade, like additional images or prints.
For on-location sessions (anywhere beyond our studio), your viewing appointment is free. We’ll email you after your session to schedule it.
Cell Phones & Personal Photography
Cell phones and personal photo or video devices are not permitted in studio shooting areas. Phones may be used in the lobby only.
Absolutely no photos or video may be taken in camera rooms without explicit consent. Any photography or video recording in camera areas without permission will result in immediate termination of the session, with no image delivery and no refund.
We know you’re excited to capture behind-the-scenes moments! Simply ask us, and we’ll make sure it happens without disrupting the flow of your session.
Studio Attire & Readiness
Clients using studio-provided attire must arrive at least 15 minutes early so everyone is dressed and fully ready at the scheduled session time. Dressing during scheduled camera time will result in lost shooting time and may result in loss of the session. As noted above, all sessions are time-based and require punctual arrival.
Studio Shoes
Outside shoes are not allowed in the studio. Please don’t wear the shoes you’d like to be photographed in. Bring them with you instead. Wet or dirty shoes will not be permitted in the camera rooms.
Weather & Child Safety
For safety reasons, children under the age of 3 will not be photographed outdoors in temperatures below 32°F. The studio reserves the right to deny outdoor photography requests if proper weather-appropriate clothing (coats, hats, etc.) is not provided.
Pets & Live Animals
Pets are welcome at family sessions. Please let us know ahead of time so we can plan for them.
Working with live animals comes with the possibility of exposure to illness or disease. By booking a session, you agree that Kirby Photography LLC is not liable for any injuries or illness due to that exposure.
Image Selection & Delivery
Digital images for Pop-In sessions are photographer’s choice. For all other packages, you choose your favorites.
Final digital images will be delivered within two (2) weeks of your session, provided full payment has been received. If payment is made after the session date, images will be delivered within two (2) weeks of final payment.
Copyright & Personal Use License
Kirby Photography LLC retains all copyrights to the images created during your session. Upon full payment, the client is granted a non-exclusive, perpetual Personal Use License for the purchased digital images.
This license permits the client to:
- Print images for personal use.
- Share images with family and friends.
- Post images on personal social media accounts and personal websites.
This license does not permit the client to:
- Sell, license, or distribute the images for profit.
- Submit images to contests, publications, or third parties without written permission.
- Edit, alter, heavily filter, or manipulate the images beyond standard cropping for printing or social media formatting.
- Claim copyright or authorship of the images.
Copyright remains the sole property of Kirby Photography LLC.
Editing & Retouching
All images receive basic professional editing. Additional retouching services, including magical edits, head swaps, and extensive skin correction, are available for $10 per image.
Print Products
Specialty print products ordered directly through the studio (not through the online gallery) will be available for pickup or delivery within three (3) weeks of the session date, provided full payment has been made. If payment is completed after the session, products will be available within three (3) weeks of final payment.
Print Coupons
Coupons for free prints expire 14 days from digital file delivery. Expired coupons can be reissued for a $10 fee.
